OUR REFUND POLICY 

Tuition, Fees & Refund Policy

 

Effective Date: 01/06/2026

 

Studio One Dance Academy ("the Studio") is committed to transparency and fairness in all financial matters. This policy explains how registration fees, tuition, costume/recital fees, and private lesson fees are handled in the event of a withdrawal, cancellation, or dispute. By enrolling a student, the registering parent/guardian or adult student agrees to the terms below.

 

1. Registration & Enrollment Fees

  • The annual registration fee is non-refundable once a student has been enrolled in a class, as it covers administrative processing, insurance, and system costs.

  • If a class is cancelled by the Studio before it begins (see Section 4), the registration fee tied to that class will be refunded in full.

 

2. Termly Tuition

2.1 Standard Withdrawals

Tuition is billed in advance and covers the full term regardless of the number of classes attended. To withdraw from a class:

  • Written notice must be submitted to the front desk or via email at least 14 days before the next billing cycle.

  • Tuition already paid for the current term is non-refundable, as it reserves the student's spot and instructor time.

  • No notice given: the family remains responsible for the following term's tuition.

 

2.2 Prorated Refunds

Prorated refunds for the current term are considered only in the following circumstances, and are calculated from the date written notice is received:

  • Documented medical injury or illness preventing participation for the remainder of the session (physician's note required).

  • Family relocation outside a reasonable commuting distance (proof of move required).

  • Studio-initiated schedule change that no longer fits the family's availability, if no comparable alternative class is offered.

4. Studio-Initiated Cancellations

  • If the Studio cancels a class due to low enrollment, instructor unavailability, or facility issues, families will be offered a class credit, transfer to a comparable class, or a full refund of tuition and registration fees paid for that class.

  • In the case of closures due to severe weather, emergencies, or circumstances beyond the Studio's control, make-up classes will be scheduled where possible; refunds are not issued for isolated closure days that are made up.

 

5. Costumes, Recital & Event Fees

  • Costume fees are refundable only if cancellation is requested before the costume order is placed with the vendor (typically by [term]); after this date, costume fees are final due to the Studio's own non-refundable commitment to suppliers.

  • Recital, competition, and event participation fees are non-refundable after the registration deadline, as they cover venue, staffing, and production costs booked in advance.

 

6. Private & Semi-Private Lessons

  • Cancellations made at least 48 hours before a scheduled private lesson will be credited toward a future session.

  • Cancellations made with less than 48 hours' notice, or missed appointments, are charged in full and are non-refundable.

 

7. Injury, Illness & Extenuating Circumstances

The Studio recognizes that unforeseen circumstances arise. Requests for a refund or credit outside the standard policy will be reviewed individually by Studio management. Supporting documentation (e.g., a doctor's note) may be required. Approved exceptions are typically issued as account credit rather than a cash refund, unless the family is withdrawing permanently.

 

8. How to Request a Refund

  • Submit a written request to the studio or by email, including the student's name, class(es), and reason for the request.

  • Refund requests are reviewed within 5 business days of receipt.

  • Approved refunds are returned via the original payment method within 10–14 business days.

  • Refunds are not processed over the phone or verbally; a written or emailed request is required for our records.

 

9. Payment Disputes & Chargebacks

Families are asked to contact the Studio directly to resolve any billing concern before initiating a bank or credit card dispute. Unresolved disputes may result in suspension of the student's enrollment until the matter is settled.

 

10. Policy Changes

Studio One Dance Academy reserves the right to update this policy at any time. Registered families will be notified of material changes by email, and the current version will always be available at the front desk and on our website.
